Arriving and Leaving

The agent/parent is responsible for booking the correct tickets for their students, and for any re-confirmations, unaccompanied minor bookings and any associated changes. The agent/parent is also responsible for passing on the correct flight details in good time to Buckswood Overseas Summer School. Buckswood Overseas Summer School cannot be responsible for any extra costs or delays caused by the agent/parent not supplying correct flight information.

Students and groups will receive a transfer confirmation giving detailed instructions of where to meet our representatives at the airport upon arrival. Students arriving on flights with similar arrival times will be grouped together and will travel to the school together.

In the unlikely event that the student cannot board their departure flight as planned (e.g. because of airline overbooking) we will return the student back to school where they will continue the course until the next available flight. The extra transfers and accommodation charges must be covered by the airline compensation or insurance payments given to the student.

All transfers are undertaken using reputable coach and taxi companies who we use on a year round basis.

It is very important that we receive flight numbers, arrival and departure times, airport terminal number and names of students in good time. The airports are very busy in the summer and we like to plan ahead

Arrivals: All students will be met at the arrivals terminal by one of our staff and escorted to the transfer. A Buckswood representative will be holding the Buckswood Overseas Summer School arrivals board with our logo (BOSS UK, as on the front cover) and the student’s name or the name of the group. On the rare occasion that a student may pass our representative, students should go to the information desk where an announcement will be made. Our staff wear distinctive BOSS polo-shirts to help students locate them.

Departures: All students will be escorted to the airport by a representative of Buckswood Summer School however, if we are not informed that they are registered as Unaccompanied Minors, students may be left to check themselves in at the designated Airport Terminal.

Unaccompanied Minors: When a student has registered as an unaccompanied minor with the Buckswood Overseas Summer School, we will issue a document naming the person who will meet the student at the airport and escort them to the awaiting transfer. On departure a named member of staff will escort them to the airline desk to be signed over to the airline representative. There is an extra charge of £25 return for this service because a designated member of staff must stay at the airport desk until the flight departs.

We monitor flight arrival times both on the displays at the airports and the Internet.

Students must be aware of their luggage allowance, especially on the return trip. Exceeding the allowance can cause long delays at check in and significant expense. In extreme cases students may not be allowed on the plane unless they dispose of excess baggage.

Students making their own arrangements for airport transfer must give us their flight details and estimated arrival time.

The ideal arrival time is mid-afternoon on Sunday and the ideal departure time is before midday on a Saturday. If these times are not possible, the parent can contact the Centre Manager, whose number will be supplied, to advise the times.
